Personal Mobile Device Minimum Security Standard
Introduction
To ensure accessing College data and services from personal devices is secure we enforce a minimum-security standard before permitting access.
To access College services from your personal device you are required to have the Microsoft Company Portal app when accessing from an Android device or the Microsoft Authenticator app when accessing from an iOS device, both are available from the app store.
Once you have the Microsoft Company Portal App or Microsoft Authenticator App, you are limited to only using the following apps for accessing College data and services:
- Microsoft Cortana
- Microsoft Edge
- Microsoft Excel
- Microsoft Flow Mobile
- Microsoft Launcher
- Microsoft Lists
- Microsoft Office
- Microsoft OneDrive
- Microsoft OneNote
- Microsoft Outlook
- Microsoft Planner
- Microsoft Power BI
- Microsoft PowerApps
- Microsoft PowerPoint
- Microsoft SharePoint
- Microsoft Stream Mobile Native 2.0
- Microsoft Teams
- Microsoft To Do
- Microsoft Word
- Microsoft Whiteboard Services
When using these apps to access college services the following restrictions apply:
- Device must have minimum 6-digit pin.
- Device must run a minimum of Android 11 and iOS 15.7.
- Device is not rooted, or jail broken.
If your device does not meet the above requirements, it cannot be used to access College services.
Accessing College Services from your Personal Device
- To access College services, you must first install an approved app for example Microsoft Outlook to access your emails. As well as an approved app you will also need to have the Company Portal app if using Android or the Microsoft Authenticator app if using iOS installed on your device.
- Open the app and sign in using your College credentials. Once you have authenticated if you haven't already installed the company portal app or Microsoft Authenticator you should be prompted to install it from the app store. If you are not then install this separately and retry.
- Once the Company Portal App or Microsoft Authenticator app is installed, you can proceed to the next stage and your device will be checked that it meets the minimum-security standards

- To further protect College data, you will also be asked to set a 6-digit pin for the app
- You can now access College services.
Your Privacy
When using your personal device, the IT Services team do not see your see your private information on your device such as:
- Calling and web browsing history
- Email and text messages
- Contacts
- Calendar
- Passwords
- Pictures, including what's in the photos app or camera roll
- Files
When accessing College services from a personal device we do collect a minimal amount of device information which includes:
- Device owner
- Device name
- Device serial number
- Device model, such as Google Pixel
- Device manufacturer, such as Microsoft
- Operating system and version, such as iOS 16.0.0
This data is processed to ensure your device is compliant, manage security of the data and services you access and assist the IT helpdesk in troubleshooting any issues.
IT does not have control of your device; however, we do impose restrictions on how you can use and access college data to ensure it is handled safely and securely.
